How to use the CalSAC Trainer Network Online Training Request System (OTRS)

Step 1: Creating an Online Training Request Account
To create an account for your agency, go to www.calsac.org.  Under the green drop down menu tab titled Training and Consulting, click on CalSAC Training.  Once on the CalSAC Training page you can read more about the CalSAC Trainer Network and set up your Online Training Request account.

NOTE:  Your agency’s account will only be accessible through a unique username and password log in.  Therefore, if you have more than one program site that will be requesting CalSAC Training, we suggest that you set up separate accounts for each of your sites.

Step 2: Accessing your Online Training Request Account
To access you account, go to www.calsac.org.  Under the green drop down menu tab titled Training and Consulting, click on Agency Log-in.  Enter your username and password.  You can change your username and password by editing your agency profile once you are logged on. 

The first time you log on you will be asked to change your password.  You will then be asked to accept the terms of agreement for using the Online Training Request System and receiving CalSAC Training.  Finally, you will be prompted to complete a Pre-Training Survey.  This survey must be completed by all agencies once a year, or each time your training audience changes.
    
Step 3: Creating your Agency Profile
Before you can request Free CalSAC Training you must complete your agency profile.  Once logged on you will see a menu bar at the top of your home page.  You can create and edit your agency profile by clicking on the drop down menu titled My Profile and selecting the Edit Profile option.  The information you provide in your profile will be shared with CalSAC Trainers who accept your training requests.  Please make sure to include all of your agencies information, answers to the questions about your agencies training needs, and a detailed description of your agency to better prepare our Trainers in providing you the highest quality training services.
 
Step 4: Viewing CalSAC Trainers and Training Topics
On the far right side of the menu bar you will find a drop down menu titled Trainers and Topics.  From here you can search for and view a list of Trainers in your region who provide training in the topics you want.  By clicking on the More Details link next to a Trainer’s name, you can view a Trainer’s profile which includes a list of all the modules they train on, where they train, and a description of their skills and experience in the afterschool field.

Under the Trainers and Topics menu you can also search for and view CalSAC Training modules.  Choose from a list of 15 topic areas or narrow your search by entering a key word in the Name Contains field.  By clicking on the More Details link next to the Training module you can read a module’s summary and learning objectives.

Step 5: Making a Training Request

 

From your menu bar you can request CalSAC Training by clicking on My Trainings, and selecting Make a new Training Request.  On the training request page you will be asked to select the module(s) you are requesting, a preferred date and time, the region and specific address where the training will take place, and the expected number of attendees.  You will also have the option to specify a trainer(s), or elect to have your request sent to all Trainers in your area who train on the topics you selected.

If you choose to specify a trainer, your Trainer options will be narrowed by region and training topic.  You may select as many Trainers as you like who will all receive a notification that they have been specified as a Trainer by a requesting agency.  The first Trainer to accept your request will then be automatically assigned to your request.  If you would like to request specific co-trainers, you must directly communicate that to your assigned Trainer.

 

After you have submitted your request, you will receive an automatic email notification with the details of your request and a link to view the request.  You will also receive an automatic email notification when your request has been accepted by a CalSAC Trainer or changes have been made to your request by you or your assigned Trainer.

Step 6: Managing Your Training Requests

Requests that are pending have not yet been accepted by a CalSAC Trainer.  You can view, change and cancel pending requests by going to the My Trainings menu and clicking on Pending Training Requests.  You can view the details of your training requests by clicking on the More Details link next to each request.  From hear you can cancel or make changes to your request.

Requests that are in progress have been accepted by a Trainer.  You can view training in progress by going to the My Trainings menu and clicking on My Trainings.  You can view the details of your training events by clicking on the More Details link next to each event.  Once a request has been accepted, you can no longer cancel or make changes to the request.  If you need to cancel or make changes to your request, you must communicate directly with your assigned CalSAC Trainer.
